About the Opportunity

We're looking for a Guest Experience Coordinator who thrives in a fast-paced, people-focused environment. This role blends front-desk hospitality, organization, and financial coordination, ensuring every guest's experience is smooth from check-in to billing.

You'll be the first friendly face our guests see when they walk in, and the last point of contact as they wrap up their session. Behind the scenes, you'll also support accurate billing, insurance submissions, and accounts receivable tracking to keep operations running seamlessly.

Responsibilities

• Greet and assist guests in person, by phone, and via email or text
• Manage scheduling and appointment coordination for multiple providers
• Process payments, reconcile daily transactions, and support accounts receivable tracking
• Assist with insurance submissions, billing corrections, and claim follow-ups
• Update guest files and records, and maintain confidentiality
• Support clinic flow and ensure an exceptional experience from check-in to check-out
• Collaborate with the clinical and operations team to improve efficiency and guest satisfaction
• Ensure cleanliness within the space and uphold clinic standards that support operational efficiency
• Ad hoc duties as needed

Who You Are

• 1–2 years of experience in customer service, administration, or billing (clinic or wellness setting preferred)
• Excellent organizational and multitasking abilities
• Strong computer skills and comfort working with scheduling and POS systems
• Experience with billing, insurance, or accounts receivable is an asset
• Positive attitude and a genuine interest in helping others
• Strong communication and customer service skills
• Enjoy balancing people interaction with administrative work
• Take initiative and love being part of a collaborative team
